Corporate Cotton Tote Bags: Internal Preparation for Bulk Orders

Corporate Cotton Tote Bags: Internal Preparation for Bulk Orders
Short answer

A corporate cotton tote bag order starts with internal preparation, before the bag itself: who will decide, which version of the logo will be used, invoice details, delivery addresses and the date needed must be settled. At its workshop in Konya Karatay, Karaca Çanta produces corporate orders without intermediaries, issues corporate invoices and ships to all 81 provinces of Turkey with tracked shipping or freight.

In a corporate bag order, the problem is rarely in production; more often an approval lost between marketing, purchasing, accounting and management, a logo that arrives late or a missing piece of invoice information stretches the schedule. Choosing the bag is easy; preparing the organisation is hard.

This guide does not cover the order process but the internal preparation before the order: who will take part in the process, logo preparation in line with the brand guidelines, usage scenarios, internal approval of the quote and a multi-address delivery plan. For the process steps, you can see our wholesale bag supply guide.

Who Takes Part in the Process in a Corporate Order?

Although a corporate bag order looks like one person's job, it concerns at least three or four departments. If you know in advance who is involved, it also becomes clear what information to ask each department for and when. The table pairs common roles with the information to be sent to the workshop; department names may vary with your organisation's structure.

Appointing a single point of contact simplifies correspondence between the workshop and your organisation. If draft approvals, questions and change requests come from the same person, there is no confusion about which information is current and the order of requests is not lost; it is also a good precaution to name a deputy for periods when that person is on leave or busy.

How Do You Prepare a Logo in Line with the Brand Guidelines?

Most organisations have logo usage rules: which colours, which clear space, which version. It may not be possible to apply the whole guideline to bag printing, because fine lines and many colours do not give the same result with every method on fabric. So the plain version suited to printing should be settled from the start.

Preparing a one-colour version or one limited to two colours and sending the logo file in vector format makes the process easier. Which version will be used is decided together with the workshop on the draft; it is enough to write the mandatory colours in your guideline and the clear-space rule around the logo in the request. For methods and file preparation, you can see our printing guide.

For What Purposes Are Corporate Bags Ordered?

Organisations order bags for different purposes; when the purpose changes, the choice of bag changes too. The scenarios below are general examples, and fabric, size and print need to be considered separately for each. If you are ordering for several scenarios at once, write each one separately in the request, because the quote is shaped by the scenario. When defining the scenario, also think about how many times the bag will be used: a bag that will be handed out once and forgotten and a bag that will be carried for months may not need the same fabric, the same handle and the same print. If you are undecided, writing down the intended use is enough for the workshop to prepare a fabric and size suggestion accordingly.

  • Welcome and onboarding packs: a plain, lasting bag for new staff, customers or guests
  • Trade shows, congresses and meetings: light distribution to many attendees
  • Staff gifts: anniversaries, holidays or campaigns
  • Customer bags: a model given when shopping or on a visit, used for a long time
  • Events and sponsorship: distribution where logo visibility comes first

How Is Design Approval Managed Within the Organisation?

When the logo draft reaches you, the approval decision is made by the relevant departments looking at it together, not by one person. Marketing looks at the accuracy of the logo, management at the look, accounting at the invoice name. Collecting each department's comments with a single point of contact and sending them to the workshop together reduces several rounds of correspondence to one.

Because production starts after approval, change requests need to be finished before approval; once production has started, changing the design becomes difficult. Having the relevant people in your organisation check points such as typos, the phone and address details, the logo colours and the position on the bag in the draft prevents surprises after approval.

How Do You Get a Comparable Quote?

Organisations usually compare more than one quote. For the comparison to be meaningful, the same description needs to be given to all suppliers: fabric, size, handle, print method and colour, and quantity. Otherwise, a quote that looks low may be missing an item. For those who want to prepare a detailed technical specification, we have a separate article on our blog.

When asking us for a quote, know that the price is determined by quantity, fabric, size, number of colours in the print and extra details such as the handle; there is no fixed list. If you need to present the quote within your organisation, ask for the description to be in writing. Corporate orders are invoiced; it is enough to send the company name and tax details at the start.

Multi-Department, Multi-Address Delivery Plan

Will the bags come to a single centre or be distributed to different departments? Multi-address delivery is not only a logistics question but a planning question: you need to list in advance how many bags will go to each address and who the recipient is. If you want shipment to more than one address, say so in the first message; whether it is possible and how it will be done is settled at the quote stage.

Bags are shipped to all 81 provinces with tracked shipping or freight; the shipping method is planned according to quantity and address. The name and a reachable phone number of the person receiving the delivery help the package to be received without problems. For province-level information, you can also see our service areas page. Finding out in advance who will accept the cartons at delivery and at what times is also good preparation within the organisation.

How Do You Build a Corporate Order Schedule Backwards?

Internal approvals are often the longest step of the process; so you need to build the schedule backwards from the event or distribution date and take approval times into account. Because production and shipping times vary with fabric, quantity and print, we do not give an exact number of days; these are settled at the quote stage, once we know your date. Although every organisation's approval routine is different, the sequence usually runs as follows, and it is worth remembering that each line carries its own waiting margin:

  • The date by which you need the bags in hand
  • The margin set aside for delivery and shipping
  • The margin set aside for the production and printing stage
  • The approval process for the design draft
  • Acceptance of the quote and the order decision
  • Internal budget and management approval process

Frequently asked questions

First settle the intended use, logo version, quantity, date and invoice details within your organisation; then send your request through the Get a Quote form, by phone or on WhatsApp. After the quote, your logo is presented for your approval as a design; after approval, production and printing take place, and the bags are inspected and shipped.
