Which Fields Should a Cotton Tote Bag Quote Form Include?

Short answer: A cotton tote bag quote request should include, besides contact details, the product type, material, size (width x height x gusset, cm), estimated quantity, number of print colours, print sides, delivery province, desired delivery date and the logo or design file. The mandatory fields on the form are name and surname, telephone and KVKK (Turkish Personal Data Protection Law) consent; if you do not know the product details you can leave them blank, and they are determined together at the quote stage.

The first question that comes to mind when you open the quote form is this: do I have to know all of it? No. On the form only name and surname, telephone and KVKK consent are mandatory; the product details are optional and you can leave them blank if you do not know them. But the more information you give, the clearer and more comparable the quote becomes.

In this article we go through the fields on the form one by one, explaining what to write in each and why it matters. At the end there are topics that corporate purchasing teams, and those asking for congress or event bags, should clarify in addition.

Mandatory Fields: Who Are You and How Can We Reach You?

Name and surname and telephone are the minimum information we need in order to get back to you; reading and approving the KVKK privacy notice is also mandatory. The company, email, delivery province, estimated quantity and subject fields are not mandatory. Even so, writing the company name and email keeps the correspondence on record, and writing the province and quantity makes it easier to define the scope of the quote.

Product Fields: Type, Material, Size and Quantity

These four fields are the backbone of the quote: they say which bag, in which fabric, in what size and in what quantity is wanted. If you do not know one of them, you can tick the "not sure" option or leave the field blank; we make the missing decision together at the quote stage.

Product details fields

FieldWhat to writeWhy it matters
Product typeCotton, raw cotton, nonwoven (stitched), ultrasonic-welded, paper, drawstring backpack or other / not sure.Determines which category and which production method the quote is given for.
MaterialCotton, raw cotton, nonwoven (stitched), ultrasonic-welded nonwoven, cardboard or awaiting our recommendation. The fabric affects the durability of the bag and the look of the print.
SizeIn the order width x height x gusset, in centimetres; for example 35 x 40 x 10. For a model without a gusset, width x height is enough.Whether it fits the product that will go inside, and the amount of fabric, depend on this.
Estimated quantityApproximate order quantity, for example 500 pieces. If you do not know the exact number, write an approximate range.Unit cost changes with quantity; the quote is prepared according to this number.

How Should the Print and Delivery Fields Be Filled In?

The print fields describe how your logo will be applied, while the delivery fields describe where and by when the bags need to arrive. Writing the two together lets us plan the design and production at the same time and reduces follow-up questions later.

Print and delivery fields

FieldWhat to writeEffect on the quote
Number of print coloursNo print, 1, 2, 3 or 4 colours, multicolour / photo or not sure. The number of colours affects the printing method and the cost.
Print sidesSingle-sided or double-sided.Printing one or both faces of the bag changes the cost.
Delivery provinceThe province the bags will be sent to.The shipping plan and freight method are settled accordingly.
Desired delivery dateThe date by which you need the bags; if there is an event, leave a margin before the event date. The production schedule is planned accordingly; availability is confirmed at the quote stage.

How Is the Logo and Design File Uploaded?

The form accepts PNG, JPG, WebP, PDF and EPS formats; the file can be up to 5 MB. If possible, upload a high-resolution image or a PDF or EPS containing a vector drawing. A small, blurry image runs the risk of giving a blurry result in print as well.

The uploaded file is not public; it can only be downloaded from the authorised admin panel. If you do not yet have a ready file, you can leave the field blank and describe your logo in the details section; you can send the file later while the quote discussion is under way.

What Questions Should a Corporate Purchasing Team Ask?

A corporate purchase needs more than the quote form: an internal approval chain, a specification, invoice details and a person responsible for delivery. Ask the supplier the questions below in writing and keep the answers in the quote file; in the event of a dispute later, this will be the strongest record you have.

We can answer some of these questions up front: we have been manufacturing ourselves in our workshop in Karatay, Konya since 2013, there are no middlemen, corporate invoices are issued, and the process runs in the order of request, quote, design approval, production and printing, inspection and shipping.

  • Is the supplier a manufacturer or a middleman; at which address is production carried out?
  • How is design approval obtained; are the print position and colours shared as a visual before approval?
  • Which items does the quote cover: fabric, size, print colour, print sides, handle and additional details?
  • Are the delivery date, shipping method and delivery address each stated in writing?
  • What information is requested for the invoice and when is the invoice issued?
  • If a sample is wanted, has the request been sent at the quote stage and are the terms in writing?

Which Documents Are Checked Before a Bag Order?

Before placing the order you should have three records: a written quote that lists the items one by one, an approved design visual showing the logo placement and colours, and your company details needed for the corporate invoice (company name, tax office, tax number). These three are the easiest way to show any differences that may arise later.

If your organisation's specification asks for additional documents such as a test report or a certificate of conformity, write this in the details section of the request and confirm in writing which document can be provided and under what conditions. Settling a firm expectation of documents on these matters before placing the order is the safest way.

What Information Should a Congress Bag Quote Include?

For a congress or event bag, in addition to the fields above, also write the following: the number of attendees and the spare quantity you want to add, the size of the folder or booklet that will go inside the bag, the number and placement of sponsor logos if any, the date of the event and the date by which you need the bags.

For example, at a congress with 500 attendees where a programme booklet and a water bottle will be given out, the bag size is chosen according to these two; if there are sponsor logos, the print sides and number of colours should also be stated in the quote accordingly.

Frequently Asked Questions

Which Fields Are Mandatory on the Cotton Tote Bag Quote Form?

The mandatory fields are name and surname, telephone and KVKK consent. Company, email, delivery province, estimated quantity, subject and all product details are optional. If you do not know the product type, size or print colour, you can leave the field blank or tick the "not sure" option; this information is settled together at the quote stage.

Is It Necessary to Attach a Logo File to the Quote Request?

It is not necessary, but it helps make the quote clearer. The form accepts PNG, JPG, WebP, PDF and EPS files up to 5 MB. The uploaded file is not public; it can only be downloaded from the authorised admin panel. If your file is not ready, describe your logo in the details section and send the file later.

What Questions Should a Corporate Purchasing Team Ask During the Quote Process?

Ask in writing who the manufacturer is, which items the quote covers, how design approval is given, the delivery date and shipping method, and the invoice details. If your specification asks for additional documents or a test report, state this from the start. Keeping the answers in the quote file makes things easier for you at later stages.

What Information Should Be Included in a Congress Bag Quote?

It should include the number of attendees, the size of the folder or booklet that will go in the bag, the number and placement of sponsor logos, the print colour and sides, the delivery province and the date by which you need the bags. This information determines the size of the bag, the printing and the production plan; anything missing is settled together at the quote stage.
