Unit Price and Real Cost in Wholesale Bag Orders

Short answer: Unit price is the per-bag figure found by dividing the quote total by the order quantity; total cost also includes print preparation, freight, the risk of a faulty order and how many times the bag will be used. Two unit prices cannot be compared if the fabric weight, size, printing and delivery terms are not the same. The real yardstick is the cost per use, found by dividing total cost by the number of uses.

You have two quotes in front of you, and in one of them the per-bag figure is noticeably lower. Most of us naturally lean towards it. Yet unit price shows only one line of the invoice; it does not tell you what the bag will actually cost you.

In this article we explain the difference between unit price and total cost, the place of fabric weight in the comparison, how to assess freight, and how to decide between a low unit price and a long service life. There are no figures; there is a calculation framework into which you can put the numbers for your own order.

What Is the Difference Between Unit Price and Total Cost?

Unit price is the figure found by dividing the quote total by the number of bags. Total cost is everything you pay until the bag reaches you and serves its purpose: the price of the bag, print preparation, shipping, replacement or correction where needed, and the use it gives you over its lifetime. The first figure is read from the quote; the second is worked out by asking questions.

A practical way is this: add to the quote amount the items that fall outside the quote, then divide the resulting total by the product of the number of bags and the bag's estimated number of uses. The result is the cost per use. Although estimating the number of uses may seem hard, comparing two quotes on the same assumption is far sounder than not comparing them at all.

Cost items that unit price does not show

ItemVisible in the unit price?Effect on total cost
Print preparationUsually included in the quote amountIf the quantity is small, its share per bag increases
FreightWhether it is included or separate must be stated in the quoteIf written separately, it directly increases the total amount
Design correctionNot visible if the scope is unclearIf the logo is not ready, it causes extra work and extra time
Faulty or incomplete orderNot visible at allCarries the risk of reproduction and of missing the event schedule
Service lifeNot visible at allIf the bag deteriorates quickly, the cost per use rises

Why Should Fabric Weight Be Stated in a Price Comparison?

Fabric weight is the weight in grams of one square metre of the fabric. If two bags of the same size are made from fabrics of different weights, one carries more raw material than the other and naturally has a different cost. A quote that does not state the fabric weight can make two products look the same.

On our catalogue product pages, 60 gsm is mentioned for ultrasonic-welded models and 100 gsm nonwoven fabric for stitched nonwoven models; production in other weights is also possible and is clarified in the quote. When comparing quotes, ask for the following items to be the same as well, alongside the fabric weight.

  • Fabric type: raw cotton, coloured fabric, stitched nonwoven or ultrasonic-welded.
  • Fabric weight: even within the same fabric type, both quotes need to state the same value.
  • Size: width, height and, if any, gusset must be written in centimetres.
  • Printing: method, number of colours and one or two sides.
  • Handle type and the way the handle is attached to the bag.
  • Packing and delivery method.

How Is Freight Cost Assessed in a Cotton Tote Bag Order?

Freight is the item in which the difference between quotes is most often hidden. In one quote shipping may be inside the amount while in another it appears as a separate line; comparing the two directly gives a wrong result. When requesting a quote, ask in writing whether shipping is included, to which address it will be delivered and whether the shipment can be tracked.

On our side, bags are sent from the workshop in Karatay, Konya, to all 81 provinces by tracked cargo or freight; the shipping method is planned at the quote stage according to quantity and address. If you are considering distribution to more than one address, say so in your first message, because the number of delivery points changes the shipping item.

A Low Unit Price or a Long Service Life?

What the bag is bought for decides the question. For a bag that will be handed out at a single event and thrown away, the number of uses is low anyway; paying extra for lifespan may be pointless. For a bag that a customer will take shopping for weeks, if the handle and stitching are weak, your logo disappears from the street after a few uses. A bag's visibility period is also part of the cost.

Decision by purpose of use

Purpose of useHow decisive is the unit price? What should be prioritised?
One-off event distributionMay be more decisiveDelivery date and print clarity
Gift bag given to customersModeratelyStrength of the handle and stitching
Daily carrying in a shopLess decisiveFabric, base and handle attachment
Repeat orders throughout the yearModeratelyThe same quality holding every time

How Is the Cost of a Retail Bag and an Event Bag Calculated?

For a shop or grocery bag, think of the cost per basket: estimate how many customers you will give bags to in a period, convert this into a number of bags, and factor in the frequency of repeat orders. If a customer reuses the bag at home, your logo advertises every time it goes out; this is a factor that makes the cost per bag reasonable.

In an event budget, the bag itself, printing, shipping and any spare quantity should be separate lines. If the number of attendees is not final, ask for a quote with a range. For example, if you are buying bags for a congress of 500 people, leaving a spare quantity from the start eases the schedule too, so that you do not have to open a second small order if registrations increase.

Frequently Asked Questions

How Is Total Cost Calculated in a Wholesale Bag Order?

Add to the quote amount items outside the quote such as freight and design correction, and divide the resulting total by the product of the number of bags and the average number of uses. The result is the cost per use. Calculating both quotes on the same assumption gives a more accurate comparison than looking at unit price alone.

Does the Unit Price in a Bag Quote Include Freight?

This differs in every quote; freight is sometimes included in the amount and sometimes written as a separate line. When getting a quote, ask in writing whether shipping is included. With us, the shipping method and items are clarified at the quote stage according to quantity and delivery address.

Why Can a Bag with a Low Unit Price End Up Costing More?

Because unit price does not show the bag's lifespan, print quality or shipping items. Thin fabric or a weak handle can cause a bag to fail after a few uses. When a bag is used little, the cost per use works out higher than for a more durable bag with a higher unit price.

How Many Spare Bags Should Be Left in an Event Budget?

There is no fixed rule; the spare quantity is determined by how much the number of attendees may change and how hard it would be to place an additional order later. If the number of attendees is not certain, ask for a quote with a range and say so when submitting your request; we can assess the options together at the quote stage.
